PRIMARY FUNCTION:
Responsible for grant compliance with regards to staffing and background screening. Provides regular administrative support to the Resource Development department. Part-time with potental to become a Full-time position.
KEY ROLES (Essential Job Responsibilities):
• Access the Texas Department of Health and Human Services' (HHS) Advanced Background Check System (ABCS) to complete background check submission process to maintain compliance with Texas Department of Family and Protective Services grants funded to BGCTX.
• Review applicant-submitted DFPS background check paperwork for completion and accuracy prior to submission in ABCS system.
• Provide timely responses to communication received from DFPS Background Check team regarding missing information or additional information needed of applicants for employment and volunteerism.
• Maintain complete files of all DFPS-submitted background checks and background check results per employee / volunteer.
• Track fingerprinting requirements and ensure applicants complete fingerprint appointment within the DFPS-provided deadline as required.
• Deactivate terminated employees or volunteers within the ABCS system upon notice of their departure from BGCTX.
• Work closely with resource development staff to ensure compliance is being met with regard to individual grants requirements.
• One of the essential skills for this position is the ability to use CRM platforms effectively.
• Performs regular secretarial duties, preparing correspondence and reports as requested as well as other duties as assigned.
RELATIONSHIPS:
Internal: Maintains close, daily contact with Club and administrative staff, and supervisor to receive/provide information, discuss issues, explain or interpret guidelines/instructions.
External: Maintain contact with members, families and the general public to give and obtain information, either in response to inquiries or as instructed by supervisor.
SKILLS/KNOWLEDGE REQUIRED:
• High School diploma and a combination of education and job experience.
• Strong written and oral communication skills
• Ability to manage multiple tasks and to develop solutions to problems with limited supervision
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
• Ability to lift up to 20 lbs.
• Exposure to outdoor weather conditions (hot and cold)
• Ability to stand for extended periods of time
• Exposure to periods of loud or excessive noises
